This Privacy Policy describes how TimeCanopy (“we”, “us”, or “our”) collects, uses, and protects personal information in connection with our online appointment booking platform (the “Service”).

TimeCanopy is an online booking platform that connects clients with independent service providers (“Businesses”). Each Business operates independently and is responsible for its own services. We act as a technology intermediary, not as a service provider in respect of the services Businesses offer.

2. What Personal Information We Collect

We collect personal information that you voluntarily provide to us, including:

• Account information: name, email address, phone number, billing address.
• Booking information: appointment dates and times, student or family member names, service preferences.
• Business information (for Businesses): business name, contact details, service descriptions, availability.
• Technical information: IP address, browser type, session data, and usage logs collected automatically when you use the Service.

We do not knowingly collect personal information from children under 13 without parental consent.

3. Why We Collect Personal Information

We collect and use personal information for the following purposes:

• To create and manage your account.
• To facilitate appointment bookings and communications between clients and Businesses.
• To send transactional emails (booking confirmations, reminders, receipts).
• To improve, maintain, and secure the Service.
• To comply with applicable legal obligations.

We rely on your consent and, where applicable, our legitimate interests in operating the Service as the legal basis for processing your personal information.

4. How We Share Personal Information

We share your personal information only as follows:

• With the Business you book with: your name, contact information, and appointment details are shared with the Business to enable the service.
• With service providers: we use third-party providers for hosting, email delivery, and payment processing. These providers are contractually bound to protect your information.
• As required by law: we may disclose personal information where required by applicable legislation, court order, or governmental authority.

We do not sell personal information to third parties.

5. Data Retention

We retain personal information for as long as your account is active and for a reasonable period afterward to meet legal and business obligations. You may request deletion of your account at any time by contacting us.

6. Security

We implement reasonable technical and organizational safeguards to protect personal information, including encrypted data transmission (HTTPS), password hashing, and access controls. No method of transmission over the Internet is 100% secure, and we cannot guarantee absolute security.

Passwords must meet minimum complexity requirements. We lock accounts temporarily after repeated failed login attempts.

Under applicable privacy legislation (including Alberta’s Personal Information Protection Act (PIPA)), you have the right to:

• Request access to the personal information we hold about you.
• Request correction of inaccurate or incomplete information.

We use session cookies to maintain your logged-in state. Sessions expire after a period of inactivity and are cleared on logout. We do not use tracking or advertising cookies.

Our Service may contain links to third-party websites operated by Businesses. We are not responsible for the privacy practices of those websites.

We may update this Privacy Policy from time to time. Material changes will be communicated by posting the updated policy on this page with a revised date. Continued use of the Service after changes are posted constitutes acceptance of the updated policy.
